How HAZARDOUS GOODS MANAGEMENT LIMITED handles personal data across the Cargoclear service, including your service input, generated output and payment boundary.

Who is responsible
HAZARDOUS GOODS MANAGEMENT LIMITED (“we”, “us”) operates Cargoclear, an online software service that drafts dangerous-goods documentation and training material. We are the data controller for the personal data described in this policy.

What we collect
We collect only what we need to run the service:
- Account data: name, email address and the organisation you enter.
- Subscription data: the plan you choose, billing period and subscription status. Card details are entered on Stripe’s hosted checkout and are never received or stored by us.
- Service input: the shipment descriptions, transport modes, quantities and any item or safety-data-sheet details you enter to generate documents.
- Generated output: the document sets, diagrams and walkthrough storyboards produced from your input.
- Support data: the content of messages you send us and the lead forms you submit.
- Technical data: standard server logs including IP address, browser type and timestamps, used for security and reliability.
Collection sources
We collect account, order, support and service data directly from you when you create an account, subscribe, enter user input in the workspace, upload a file or contact us. If you use an example prompt or example data, we collect the changes and additional information you submit, not a separate profile inferred from the example.
We receive subscription status and payment references from Stripe or PayPal, but never your full card number. Technical data is generated automatically by our hosting infrastructure, security logs and essential cookies when you use the site. We do not obtain personal data from data brokers or public-record enrichment services.
Why we use it and our legal bases
- To provide the service — generating documents, diagrams and clips from your input. Legal basis: performance of a contract.
- To manage your subscription — billing, renewals, receipts and access control. Legal basis: performance of a contract.
- To provide support — answering your messages and lead enquiries. Legal basis: legitimate interests in helping our users.
- To keep the service secure and reliable — logging, fraud prevention and diagnostics. Legal basis: legitimate interests.
- To meet legal obligations — tax, accounting and records. Legal basis: legal obligation.
- To send service messages — essential notices about your account. Legal basis: legitimate interests. Any optional marketing is sent only with your consent, which you can withdraw at any time.
User input, file uploads, example data and generated output
User input includes shipment descriptions, transport details, item information and safety-data-sheet content you type, paste or upload. We process it only to generate the document set, diagrams, walkthrough and reviewer notes you request. Example prompts and example data remain unchanged until you choose one; once submitted, they are handled on the same basis as other user input. Where an AI provider is configured, only the content needed for that request is sent to the provider.
We do not use your input or generated output to train any model. We do not sell your input or output. Uploaded files are used to extract the content needed for the requested generation; they and generated documents, diagrams and walkthroughs are associated with your account so you can retrieve or export them. We retain user input, uploaded files and generated output only for the periods stated below. You may delete generated items in the service or request deletion of your user input, uploads and output by emailing us; active copies are deleted within 90 days, subject to legal retention duties and backups cycling out.
Do not enter classified, export-controlled or otherwise restricted information that you are not authorised to process. The Acceptable Use Policy sets out this boundary.
International transfers
Some of our processors operate outside the United Kingdom and the European Economic Area. Where personal data is transferred internationally, we rely on an adequacy decision where one applies, or on the UK International Data Transfer Agreement or the EU Standard Contractual Clauses with appropriate safeguards.
How long we keep it
- Account data: for as long as your account is active, then deleted or anonymised within 12 months of closure.
- Service input and generated output: retained while your account is active so you can access it; deleted within 90 days of a deletion request or account closure, subject to backups cycling out.
- Billing records: kept for the period required by tax and accounting law, typically six years.
- Support and lead data: kept for up to 24 months from the last contact.
- Server logs: kept for a short rolling period for security and diagnostics.
Your rights
Under UK GDPR and, where it applies, EU GDPR, you have the right to:
- access the personal data we hold about you;
- have inaccurate data corrected;
- have your data erased in certain circumstances;
- restrict or object to certain processing;
- data portability for data you provided to us;
- withdraw consent at any time where we rely on consent.
To exercise any right, email support@hazardgoodds.shop. We respond within one month. You also have the right to complain to a supervisory authority; in the United Kingdom this is the Information Commissioner’s Office.
California residents (CCPA/CPRA)
If you are a California resident, you have the right to know what personal information we collect and how we use and disclose it, to request deletion or correction, and to be free from discrimination for exercising these rights.
We do not sell or share your personal information as those terms are defined under the CCPA/CPRA, and we do not use it for cross-context behavioural advertising. To make a request, email support@hazardgoodds.shop.
Automated decisions and minors
Document drafting is automated, but it is a drafting aid: outputs are reference drafts that require human review by a qualified dangerous goods safety adviser. We do not make decisions producing legal or similarly significant effects about you solely by automated means.
Cargoclear is a professional tool and is not directed at children. The service must not be used by anyone under 13. Users aged 13 to 17 may use it only with the consent and under the supervision of a parent, guardian or employer. We do not knowingly collect data from children under 13.
Security
We use encryption in transit, access controls and reputable processors to protect personal data. No system is perfectly secure, but we work to protect your data and to notify you and the relevant authority where the law requires it after a qualifying breach.
